Job Description:

WideOrbit is looking for a highly organized and detailed-oriented Event Coordinator/Specialist who is passionate about event planning, thrives in a fast-paced environment and is committed to delivering exceptional and flawless events.  As a member of the Marketing Events team, you will report to the Manager, Marketing Events and assist in the planning and execution of WideOrbit’s presence at key industry events. Working from our San Francisco headquarters, you’ll collaborate with various teams across WideOrbit including Marketing, Sales, Product, Executive, Sales Engineering, IT, and Recruiting to bring our events to life.


Here’s what success will look like:

  • Support Manager, Marketing Events on the planning, budgeting, and execution of WideOrbit’s 40+ conference and events portfolio
  • Work cross functionally to plan and manage logistics for a variety of events annually
  • Work with vendors and/or conference organizers to vet event offerings/benefits, negotiate contracts, organize logistics, and execute production
  • Collaborate with internal stakeholders to ensure all events are on strategy, brand, and budget
  • Track budget to the smallest detail to ensure all events are executed in a timely manner and within budget
  • Evaluate and report on event ROI, including creating surveys, post-event tracking, wrap-up reports, and recommendations for future events
  • Manage relationships with event organizers, vendors, internal/external stakeholders
  • Develop and nurture internal WideOrbit business relationships to better understand team goals/functions and how our Events team can best support them
  • Own the tracking and management of WideOrbit’s event branded merchandise inventory


To thrive in this role, we’re looking for:

  • BA/BS degree in marketing or equivalent years of experience
  • 2+ years’ experience in event planning and execution, experience with virtual events or webinars
  • Extremely high attention to detail (no detail too small), organized, with a process and solution-oriented mindset
  • Can-do attitude and willingness to hop in and between projects to help as needed
  • Proven ability to anticipate needs, plan-ahead and act accordingly
  • Comfortable and competent in taking initiative, juggling multiple projects, working thoughtfully and intentionally
  • Able to work independently as well as collaboratively in a fast-paced environment
  • Proven track record of successfully planning and executing multiple trade show and brand events simultaneously (with both remote and onsite planning/execution experience)
  • Strong work ethic and ability to simultaneously manage multiple tasks and meet deadlines
  • Excellent verbal and written communication skills
  • Some travel required to setup and execute events (approximately 20-30% of time)
